Before releasing grating for manufacture, make one record that connects the measured opening, support drawing, panel schedule and fabrication drawing. Put a revision and status on each document. A supplier should be able to identify the approved information without searching through an email chain for the last attachment.
Establish the starting dimensions
Identify who measured the site and when. Mark dimensions that remain provisional, and distinguish the clear opening from the intended finished panel size. Include support profiles, levels, nearby equipment and the reference points used to locate cut-outs. Photographs help describe an obstruction; the drawing still needs its position and dimensions.
For drawing-based grating fabrication, send that survey information with the project requirements and ask the supplier to return a panel layout. The engineer responsible for the structure should approve the loading, support arrangement and structural requirements. The fabricator should identify its proposed panel construction, fabrication details and dimensional assumptions for that review.
Follow one panel through the documents
As a hypothetical drawing exercise, consider a panel marked WEST-ACCESS. The site survey locates the opening beside a pump. The layout gives WEST-ACCESS its position and bearing arrow. Its schedule entry records the quantity, material, finish and finished dimensions. The fabrication drawing locates the pipe cut-out from the stated datum and shows the required edge treatment.
If the pipe position changes, revise every affected document under the same change record. Check whether WEST-ACCESS still uses the approved support arrangement and whether an adjacent panel is affected. The engineer reviews changes that affect structural requirements; the fabricator confirms the revised manufacturing detail. Record whether the change replaces a panel already made or updates one awaiting production.
Close the release record
- Match every panel mark in the schedule to a position on the layout.
- Resolve provisional measurements and supplier assumptions.
- Confirm cut-outs, banding, attachments and special edges against the current drawing.
- Record the engineer’s decisions on supports and loading.
- Give the supplier written notice of the approved revision and withdraw superseded drawings from use.
Keep fabrication approval separate from an instruction to proceed if the purchase contract treats them as different steps. State who can release production, and ask the supplier to acknowledge receipt before cutting begins.
When the goods are packed, use the approved marks on the packing list and installation layout. Record later changes against those marks. The installer then has a consistent route from a bundle label to the panel’s location, orientation and accepted drawing.
