An inspection file needs to show what was checked, which requirement applied and who accepted the result. For steel grating quality inspection, keep dimensional, material and finish records separate from the documents used to confirm design requirements. Each record should identify the affected panel marks and drawing revision.
Set the acceptance basis before recording results
Start with the approved documents for the order: fabrication drawings, material requirements and the agreed inspection plan. Note any project-specific acceptance criteria and identify the person who can resolve a conflict. The supplier and inspector need the same references when they prepare their records.
A form that says “pass” is more useful when it also names the requirement. Record the measurement or observation required by the plan, the item checked and the result. Where the plan covers a sample, state the sample clearly instead of suggesting that every panel received the same check.
Link dimensional checks to panel marks
Record the dimensions and features named in the inspection plan. Depending on the approved scope, this may include the panel outline, bar arrangement, cut-outs, banding and locating details. Use the stated drawing reference and measurement method. Keep any instrument or calibration records the project asks for with the inspection file.
When a result does not match the requirement, identify the measured location and attach a marked drawing or photograph where that helps. Keep the original observation on the record before the supplier proposes an adjustment. The accepted response and any repeat check should stay linked to the same item.
Record surface acceptance on its own
Use the specified finish and agreed acceptance criteria when recording a surface concern. State the component mark, affected area and observation. If the point remains open, keep the supporting records required by the project with the supplier’s proposed response.
Photographs can show where a visible issue appears. They do not prove an unmeasured thickness, a hidden connection or an undocumented process. Keep the required measurement, process or test evidence alongside the photographs, with its source and the panels it covers.
Identify the design evidence and its reviewer
The responsible designer should identify the documents needed to confirm the grating for its intended supports and service conditions. Record the applicable drawing, product data or calculation references and their approval status. A receiving check of panel dimensions should remain a receiving check, rather than being recorded as approval of the structural design.
At release, reconcile open observations with the accepted actions. The file should show which panels are accepted, which remain under review and who authorized each decision. Include the final fabrication drawing revisions so the site team can connect inspection records to the panels it receives. Keep superseded records traceable and mark their status clearly.
