Before ordering replacement grating cut to size, separate the site measurements from the dimensions of the old panel. Keep both records. The removed panel can help identify the arrangement, but the new order still needs a reviewed drawing of the opening and its supports.
Make the survey safe and repeatable
Have the site team arrange access and any protection needed around the work area before measurements begin. Assign a location mark to the opening and include it in photographs and notes. State the measurement units, reference points, survey date and the person responsible for the record.
Measure the features requested by the project reviewer. These may include the clear opening, available bearing surfaces, support positions and obstructions. Record dimensions at identified locations rather than writing one width against an unmarked photograph. Where an area cannot be reached or measured, note the gap and arrange the required follow-up.
Record the old panel separately
Give the removed panel its own mark and photograph its orientation before removal where the site procedure permits. Record its dimensions, bar direction, banding, cut-outs and fixing arrangement. Describe damage or deformation as an observation. Do not transfer an uncertain dimension into the replacement drawing without review.
Suppose the site notes and old panel dimensions disagree. Put both values on a query with their measurement references. Ask the responsible reviewer to decide what the new drawing should use. Keep the decision with the enquiry so a supplier does not have to choose between conflicting records.
Confirm what will stay and what will change
List the supports, frames and fixings expected to remain in service. Ask the project team to confirm their condition and suitability for the proposed replacement. Identify changes to the route, equipment access or service loading since the original installation, if that information is available.
- Show the required panel orientation and support arrangement.
- Identify permanent obstructions and required access openings.
- State which fixing components are to be supplied or retained.
- Record the material, finish and acceptance requirements for the new work.
Have the responsible designer confirm the structural requirements. The enquiry should refer to that approved information and identify outstanding decisions. Reproducing an old panel’s appearance does not establish that the proposed replacement is suitable for the current duty.
Release one replacement package
Combine the accepted survey, drawing, panel schedule and clarification record before the supplier starts fabrication. Ask the quotation to identify the revision used and any remaining assumptions. Agree panel marking and delivery sequence with the installer, especially where several similar openings are being replaced.
At receiving, compare the marked panels with that released package. Keep any site adjustment proposal linked to the affected opening and drawing. Return the accepted final arrangement to the site’s records so the next replacement begins with documented dimensions and decisions.
